Creating and Configuring an Export Job

This guide explains how to email a PDF version of a dashboard and verify delivery. Buttons, fields, and indicators are described in Export Jobs: Overview.

Contents

Check Export and Email Settings

Make sure PDF generation and email delivery are configured in the system. Contact your administrator if they need to be configured.

For details, see PDF Export and Job Scheduler Settings.

Select a Dashboard

Open Dashboards and find the dashboard for which you want to schedule PDF delivery by email. If there is no suitable dashboard, click Create, then add visualization panels and filters to the new dashboard.

Then open the export job creation form using one of the methods below.

Open the Creation Form

Choose one of the following methods.

  1. Open Dashboards
  2. Find the dashboard and open its actions menu
  3. Select Create Export Job

The Job Parameters form opens with the dashboard selected.

Enter a Name and Select a Dashboard

  1. In General, check the selected value of Dashboard. If needed, find and select another dashboard
  2. Fill in the required Job Name field, for example, "Daily Report for the Support Team"

The job name helps you find it in the list. Set the email subject separately in the next step.

Configure the Email and Recipients

  1. In Recipient Settings, leave Select from Mailing Group turned off
  2. In To, add a recipient address, for example, report@example.com. It appears as a separate item in the field
  3. Add each additional recipient address separately, for example, team@example.com

At least one recipient is required. Each address appears as a separate item, and you can select multiple addresses in the field.

Set the Sender and Subject

  1. In From, leave System selected to use the system sender, or select a configured SMTP connection
  2. Fill in the required Subject field, for example, "Daily Support Report"

Configure Report Data

  1. Select a dashboard in General. The Filter Settings section is hidden until a dashboard is selected
  2. In Filter Settings, find the required filter group. Each dashboard panel's filters are in a separate bordered block. The panel name appears in the block heading; if the name is empty, there is no heading
  3. Set the required filter values in these blocks

The available fields depend on the filters of the selected dashboard.

If a message says there are no filters, you do not need to set any in this form. Add filters in the dashboard editor.

Set a Schedule

In Schedule, select a Schedule Type. Switching types resets the schedule fields to their default values, so fill them in after choosing a type.

  1. Select Interval
  2. Set Start Time
  3. In Period, enter the interval value, and in Unit, select minutes, hours, or days
  4. For a standard schedule, leave Offset in Seconds at 0

For example, Period set to 1 and Unit set to days configure a one-day interval.

Save the Job

A new job is enabled by default: after saving, it can run on schedule. If you want to test delivery manually first, disable the job in the list immediately after creating it.

  1. Check the dashboard, recipients, subject, filters, and schedule
  2. Click Save
  3. If the form displays validation errors, correct them and save again
  4. After saving, the form closes and a job creation notification appears. Select View All Jobs from the dashboard's actions menu and find the job by name
  5. Check the schedule and job status in the list. The job must be enabled for automatic runs

You can edit a saved job. To test email delivery, run it manually.

Verify Delivery

A manual run sends an email to the specified recipients. Before testing, make sure the correct addresses are selected.

  1. In the job list, open the new job's actions menu
  2. Select Run Job
  3. The Job Started notification confirms that the job started, not that the email was delivered. Check the available information in the Execution Statistics column. Indicator colors are described in the overview
  4. Check that you received an email with the specified subject and a PDF attachment
  5. Open the PDF and make sure it contains the required dashboard and data with the selected filters

A successful test produces an email with the correct PDF. A gray indicator means no information is available and does not, by itself, indicate a delivery error.

If you do not receive the email:

  1. Check To or the addresses in the selected group, the sender, and the email subject
  2. Check the spam folder
  3. If a red or yellow execution indicator appears, click it to read the details
  4. If execution fails or the email is still missing after checking the settings, contact your administrator. Provide the job name, the time of the manual run, and any available error message

Edit or Stop the Job

Edit Parameters

  1. Open the job's actions menu and select Edit
  2. Change the required parameters
  3. Click Save
  4. If you changed recipients or filters, test delivery again

Stop Scheduled Delivery

  1. In the job's actions menu, select Disable
  2. Make sure the job-status dot turns red

The job remains in the list. To resume automatic runs, select Enable; the status dot turns green.

Delete a Job

  1. Check the name of the selected job
  2. Select Delete from its actions menu
  3. Confirm the deletion in the modal dialog
  4. Make sure the job no longer appears in the list
